SHIFT-R LONDON TRANSFER
Privacy Policy
Last updated:
This Privacy Policy explains how THE LONDON WAY GROUP LTD, trading as SHIFT-R LONDON TRANSFER ("we", "us" or "our"), collects and uses personal information when you use shiftrlondontransfer.com or otherwise contact us about a booking.
We are the data controller for the personal information described in this policy. We are registered with the Information Commissioner's Office (ICO), registration reference ZC185380.
1.What Personal Information We Collect
1.1 Journey details. Our booking form asks for the information needed to arrange your transfer: pickup and destination, date and time, number of passengers, luggage, flight number and any special requirements. These are not personal information on their own, but they become personal information once linked to you as an identifiable person — for example, once you send them to us alongside your name.
1.2 Contact details. When you get in touch to complete a booking — by WhatsApp, email or telephone — we collect whatever you give us in that conversation, typically your name, phone number and/or email address, and the journey details above.
1.3 Payment information. Where online payment is available, card payments are handled directly by our payment provider, Stripe. We do not receive or store your full card number, expiry date or security code — Stripe passes us only confirmation that payment succeeded, a partial card reference (such as the last four digits) and related transaction details for our own accounting records.
1.4 Location, if you use it. If you choose "Use my location" when entering a pickup point, your browser's own location feature is used to fill in the field. We do not send your coordinates to a third-party mapping service to do this — see our Cookie Policy for how the booking form works technically.
1.5 Correspondence. If you email us, message us on WhatsApp or contact us in any other way, we keep a record of that correspondence in order to respond to you and to have a record of what was agreed.
1.6 We do not collect any more information than we need to arrange your transfer, take payment where applicable, and meet our legal obligations. We do not buy personal information about you from anyone else.
2.How We Use Your Information
We use personal information to:
- Arrange, confirm and provide your booked transfer
- Communicate with you about a booking, including flight delays and changes
- Process payment, where you pay online
- Respond to enquiries, complaints and requests
- Keep the accounting and business records we are legally required to keep
- Detect and prevent fraud
- Meet our legal and regulatory obligations, including those of Transport for London where applicable
We do not use your information for automated decision-making or profiling that produces a legal or similarly significant effect on you.
3.Our Lawful Basis for Processing
Under UK GDPR, we rely on the following lawful bases, depending on the situation:
- “Contract”
- processing your journey, contact and payment details is necessary to arrange and provide the transfer you have booked with us.
- “Legal obligation”
- keeping certain records (for example, accounting and tax records, and records TfL may require of a licensed operator) to comply with the law.
- “Legitimate interests”
- for example, keeping a record of correspondence to handle a complaint fairly, or taking reasonable steps to prevent fraudulent bookings — always weighed against your right to privacy.
- “Consent”
- for anything we ask you to opt into separately, such as non-essential cookies. See our Cookie Policy.
5.International Transfers
Some of the service providers listed above may process information outside the United Kingdom. Where that happens, we rely on that provider's own compliance with UK data protection law — such as the UK's international data transfer agreement or an adequacy decision — as a condition of using them.
6.How Long We Keep Your Information
- 6.1 Booking and correspondence records are normally kept for as long as necessary to deal with your booking and any related query, complaint or dispute, and afterwards for as long as we are required to keep financial records — normally six years, in line with HMRC requirements.
- 6.2 Enquiries that do not lead to a booking are normally kept for a shorter period, and deleted once we have no ongoing reason to keep them.
- 6.3 We do not keep personal information for longer than we have a genuine reason to.
7.Your Rights
Under UK GDPR, you have the right to:
- Ask us for a copy of the personal information we hold about you
- Ask us to correct information that is inaccurate or incomplete
- Ask us to delete your information, where there is no good reason for us to keep it
- Ask us to restrict how we use your information
- Object to us processing your information where we rely on legitimate interests
- Ask us to provide certain information in a portable format
- Withdraw consent at any time, where we rely on consent
To exercise any of these rights, contact us using the details below. We will respond within one month, as required by law. We may need to verify your identity before acting on a request.
8.Keeping Your Information Secure
- 8.1 We use appropriate technical and organisational measures to protect personal information, including secure, access-controlled storage and encrypted connections to our website.
- 8.2 We never ask for or store your full payment card details ourselves — card payments are handled directly by Stripe.
- 8.3 No method of transmission or storage is completely secure. If we become aware of a personal data breach that is likely to result in a risk to your rights, we will notify the ICO and, where required, you, in line with our legal obligations.
10.Children's Privacy
Our services are provided to adults who book transfers, including for journeys where children travel as passengers. We do not knowingly collect personal information directly from children, and any information about a child travelling with you (for example, for a child seat request) is provided by the adult making the booking.
11.Changes to This Policy
We may update this Privacy Policy from time to time, for example as our services or the third parties we use change. The date at the top of this page shows when it was last revised. Significant changes will be highlighted on this page.
12.Questions and Complaints
If you have a question about how we handle your personal information, or wish to make a complaint, please contact us first using the details below so we have the opportunity to put things right.
